Work Fields (Licences)

Overview

Licence Work Fields are licence attributes used to capture important data fields that are usually present on the paper Licence Application Form used by municipalities. These fields are in many cases used to calculate licence fees (when the application and renewal fees vary, depending e.g. on the number of employees in an establishment applying for and renewing a licence).

Add a Work Field

  1. Click  + Add  on the Work Fields grid. The New Field dialog box appears:
  2. Enter a Name  for the field.
  3. Select the field Type  (i.e., number, text, link to an external file, dropdown list of options, etc.). The available field types are defined by your Citywide administrator.
  4. Set Show On Grid  to Yes if the field is to be displayed by default on the grid.
  5. Ensure the Active   flag is set to Yes. If set to No, the work field will not be available when creating new permits. “No” might be the setting for a new field to be used some time in the future, or it could be the setting for an existing field that is no longer used (but not deleted, so that data pertaining to it is retained in the system).
  6. Click  Add  .

Edit a Work Field

  1. Click on the Edit tool  . The Edit Field dialog box will appear with the above fields.
  2. Make the required changes.
  3. Click on Edit.

Delete a Work Field

  1. Click on the Delete tool  . When prompted, click on Remove.

Work Field Groups Described

Work field groups are essentially “toolboxes” into which related work fields are placed. The particular group of fields in each case will vary according to their relevance and usefulness in defining the Licence type. The following example shows the Details screen of the Food Vehicle Licence type. Here all the fields containing vehicle information are grouped within the Vehicle Information  section. First the fields were created here, and then they were grouped together. One and the same "Vehicle Information" group can then be used in a variety of different licences (e.g. taxi licences) whenever vehicle information is pertinent to the licence. Furthermore, a group is not static: additional fields can be added here when the group is being created or modified, but they can also be added on the fly when a licence it being created and the addition of one or more fields becomes pertinent to that single licence application. Additional work fields are added to any group in which the  + Attach Work Field   button is present, whether it appears on the Licence Type template (as in the screenshot below) or in a licence application screen.



Furthermore, any number of additional work field groups could be added to this licence type, spanning anywhere between one and four columns .
The Vehicle Information work field group, like all other field groups, can and will have different fields associated with it as it appears under different Licence Types. For example, the Vehicle Information field group in a Taxi Licence template may have a drop-down field in which the Vehicle Propulsion Type  (diesel, petrol, hybrid, electric) may be relevant (used in that case to differentiate licence fees according to the propulsion type).  

Add a Work Field Group

To create a Field Group:

  1. Click on Manage Groups . The Manage Groups dialog box will appear:
  2. Chick on  + New Group  . The New Group dialog box will appear:
  3. Enter a Name for the work field group and the number of columns  (1-4) that the to-be-added fields will occupy. (The columns setting can be changed later, if necessary.)
  4. Click  Add  .
  5. Set the order in which the work groups will appear by clicking on the up/down arrows in the row you wish to move. 
  6. Click  Add  .

The "Dog Information" work field group can now appear in the Dog Licence template and Dog Licence application form (seen below) or in, e.g. a Hunting Licence where an accompanying dog may be part of the hunt:
